Void or refund?

A void cancels a credit card payment before it settles. The money never leaves the payer’s account. The pending charge simply drops off their statement. A refund sends money back after a payment has already settled. Voids are for credit card payments only. Bank (ACH) payments can’t be voided and are always refunded.

Which one you’ll see

Credit card payments settle in a daily batch. Until that happens, a card payment can be voided. Once it settles, the void option is no longer available and you’ll refund it instead. In practice, a card payment from earlier today can usually be voided. Anything older is a refund.

How to void or refund

  1. Go to Payments and click the payment
  2. Click Void or Refund, whichever is available
  3. Confirm

How long it takes

  • Voids drop off the payer’s statement once their bank releases the pending charge, usually within a few days
  • Card refunds typically appear on the payer’s statement within 5 to 10 business days, depending on their bank
  • ACH refunds can’t be issued until the original payment clears. See ACH refund hold

Tips

  • If you catch a mistake on a card payment the same day, void it right away
  • Let the payer know a refund is on the way, since it won’t show up on their end immediately
