# Recording manual transactions

> Record a check, cash, or other manual payment, and bulk-import past transactions from a file.

## What manual transactions are

A manual transaction records a payment you took outside the system, such as a check or cash, so it shows up in your history alongside your online payments. Recording one does not move any money; it is a bookkeeping entry that keeps your records complete.

Start one from the green **New transaction** button at the top of the dashboard (labeled **New donation** on a nonprofit account), then choose **Manual transaction**.

## Recording a single transaction

<Steps>
  <Step title="Choose the customer">
    Under **Customer information**, search for an existing customer, or click **Create new customer** to add one.
  </Step>

  <Step title="Enter the transaction details">
    * **Date** of the payment
    * **Transaction type**, such as Check
    * **Transaction amount**
    * **Item** the payment applies to (defaults to General)
    * **Memo** and **Description** are optional
    * **Fees** if you want to record a fee, which is reflected in the **Transaction total**
  </Step>

  <Step title="Add more line items (optional)">
    Use **Add line item** if the payment covers more than one item.
  </Step>

  <Step title="Save">
    Click **Save** to record it, or **Save & New** to record it and immediately start another.
  </Step>
</Steps>

## Importing transactions from a file

To record many past transactions at once, use **Import Tx** on the Add Transaction screen. This opens the **Import Transactions** window, where you can:

* **Download the example file** to see the exact format expected
* **Choose a file** from your computer, then click **Import**

<Note>
  Match your file to the example file's columns before importing. Starting from the downloadable example is the easiest way to avoid formatting errors.
</Note>

## Grouping manual transactions into a deposit

Once recorded, manual transactions can be grouped into a deposit so your records reconcile with your bank. See [Deposits](/help/shared/deposits) for that flow.
